Choosing business process software: a buyer checklist for 2026

Buying business process software is rarely about features alone. Most platforms can draw a workflow and build a form. The differences show up later — when you need to change a process, connect to your ERP, pass an audit or roll out to a second subsidiary. This checklist focuses on those differences.

Start with a real process

Before comparing feature lists, pick one real process — ideally a high-volume approval such as purchase requests or expense claims — and ask each shortlisted vendor to demonstrate that process, configured on their platform. You will learn more in that hour than from any brochure.

1. Who can build and change processes?

  • Can a business process owner change a form or approval step without IT?
  • Is there a visual designer for forms, workflows, dashboards and reports?
  • Can developers extend it with scripts and APIs when needed?
  • Is there versioning, testing and a safe way to promote changes from test to production?
  • Does AI help draft workflows, forms or reports?

2. How does it integrate?

  • Are there REST connectors and database connections you can configure yourself?
  • Can approved transactions post to your accounting system automatically?
  • Is there shared master data (customers, suppliers, employees, cost centres)?
  • Can external parties — suppliers, clients, candidates — use portals or public forms?
  • Is there an SDK to build your own apps on the platform?

3. Is it secure and governable?

  • Single sign-on with your identity provider (for example Microsoft Entra ID, SAML, Active Directory)?
  • Multi-factor authentication, including passkeys?
  • Role-based permissions and row-level rules?
  • Audit logs for every change and decision?
  • Can subsidiaries’ data be isolated while users keep one login?
  • Where is data stored, and can you choose the deployment — on-premises or private cloud?

4. Will people actually use it?

  • Is the interface available in every language your staff use — in Hong Kong typically English and Traditional Chinese, and Simplified Chinese for mainland teams?
  • Is there a mobile app, and does it support the channels your staff use, such as WeChat?
  • Do push notifications work on the phones your staff carry, including Chinese Android brands?
  • Can approvers act in one tap?

5. What will it really cost?

Compare three-year total cost of ownership, not first-year licence:

Cost itemQuestions to ask
LicencesPer user, per app, or per deployment? Are external users priced separately?
ImplementationWho configures it — the vendor, a partner or your team?
IntegrationAre connectors included or custom work?
InfrastructureHosting, backup and disaster recovery
ChangeWhat does a new form or process cost after go-live?
SupportLocal support hours, language and response times

Platform or point solutions?

A common trap is buying a separate tool for forms, approvals, documents, e-signature and reporting. Each looks inexpensive alone, but together they create five logins, five permission models and a lot of integration work. On the other hand, a monolithic suite that forces you to buy everything is no better.

Look for a platform with independent apps: modules share one login, one permission model, one workflow engine and one audit trail, but each can be bought and run on its own.

A simple scoring approach

Score each vendor from 1 to 5 on the five areas above, weight them by importance to you (integration and security often matter most for larger organisations), and add a sixth score for how the vendor behaved during the proof of concept — responsiveness, honesty about limits, and local expertise.

Where FlexApp fits

FlexApp, by FlexSystem in Hong Kong, is a no-code workflow and business application platform: workflow, forms, documents, dashboards, AI assistant and integration on one foundation, plus more than 20 business apps that each work on their own. It is trilingual, supports mobile and WeChat, and can be deployed on-premises or in a private cloud. If it is on your shortlist, ask for a demo on your own process.

Frequently asked questions

Should we choose a suite or best-of-breed point solutions?

Point solutions can be strong individually but create integration and login sprawl. A platform whose apps share data, security and workflow — while still being sold separately — gives you most of the benefits of both.

Cloud or on-premises?

It depends on your data-governance, regulatory and IT requirements. Prefer a vendor that supports both, so the decision is yours rather than the vendor's.

How long should a proof of concept take?

Two to four weeks on one real process is usually enough to judge usability, fit and the vendor's support quality.
